Shop Sense Privacy Policy

This policy covers the Shop Sense Chrome extension and the services it talks to. It describes exactly what the extension reads, what leaves your browser, and what we never touch.
The short version
Shop Sense is a Chrome extension that runs on top of your Tekmetric repair order. It reads the vehicle, odometer, service history, and inspection that are already on your screen so it can show what maintenance is due and help a service writer turn shorthand into a customer-ready finding.
Almost everything it does happens on your own computer. The only information that leaves your browser is what is needed to check your license and, when a writer asks for it, to rewrite a single technician note. We do not collect customer names, phone numbers, email addresses, physical addresses, or payment information. We do not sell data, we do not use it for advertising, and we do not use it to train AI models.
What Shop Sense reads on your device
Shop Sense only runs on Tekmetric pages. On those pages it reads the repair order data your browser has already loaded, which can include:
- Vehicle year, make, model, VIN, and odometer reading
- Service and maintenance history, including Carfax vehicle history
- Inspection items, ratings, and technician notes
- Recorded customer concerns and technician concerns on the repair order
- Your Tekmetric shop identifier
To load the full repair order and the vehicle history report, Shop Sense uses your existing Tekmetric login session to call the same Tekmetric endpoints the Tekmetric web app itself calls. It does not ask for, store, or transmit your Tekmetric username or password, and it never sends your session token anywhere outside Tekmetric.
VIN, Carfax vehicle history, customer concerns, and service history are processed entirely on your computer and are never sent to our servers.
What leaves your browser
Two things, and nothing else.
1. License checks
When Shop Sense starts, it sends your license key and your Tekmetric shop identifier to our licensing service to confirm the extension is licensed to your shop. No vehicle or repair order data is included.
2. The AI writing assistant
When a service writer clicks to expand or rewrite a single technician note, Shop Sense sends only that request to our service:
- Vehicle year, make, model, and mileage
- The inspection line item name
- The inspection rating colour (green, yellow, red, or not applicable)
- The technician note text being rewritten
- Your license key and shop identifier
Our service forwards that content to OpenAI (the gpt-4o-mini model, at api.openai.com) which returns the rewritten text. OpenAI processes it as a service provider under their API terms and does not use API content to train their models. Nothing is sent until a person clicks the button, and nothing is written back into Tekmetric without a confirmation step.
Technician notes are free text. Because a person could type anything into that field, please do not enter customer names, contact details, or other personal information into technician notes you intend to rewrite.
Server logs
Our service temporarily holds the requesting IP address in memory for up to sixty seconds purely to enforce rate limits. It is not written to a database and is not used to identify anyone.
What is stored, and for how long
- On your computer, until you remove it: your extension settings and your license key, held in Chrome's local extension storage.
- On your computer, until you close Chrome: the maintenance recommendations, inspection data, and report for each open tab, held in Chrome's session storage. This clears automatically when the browser closes.
- On our servers: your license key and shop identifier, so we can validate your licence. We do not retain the vehicle details or technician notes sent to the writing assistant after the response is returned.
What Shop Sense never collects
- Customer names, phone numbers, email addresses, or physical addresses
- Payment or financial information
- Health information
- Your Tekmetric password or login credentials
- Your browsing activity. Shop Sense has no access to any site other than Tekmetric, and does not track pages you visit.
Chrome Web Store Limited Use disclosure
Shop Sense's use of information received from Google APIs will adhere to the Chrome Web Store User Data Policy, including the Limited Use requirements.
Your control and how to delete your data
Removing the extension from Chrome deletes everything it stored on your computer, including your license key and any cached recommendations.
To have your license record deleted from our servers, email us at the address below and we will remove it and confirm when it is done.
Changes to this policy
If we change what Shop Sense collects or who it shares data with, we will update this page and the date at the top, and we will disclose the change in the extension before the new behaviour takes effect.
